Quantum Key Institute Pty Ltd (ABN 93 684 008 366) ("Quantum Key Institute", "we", "us", "our") is committed to protecting your privacy and handling your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This Privacy Policy applies to all visitors to our websites, prospective clients, enrolled clients, graduates, event attendees, and anyone who otherwise interacts with Quantum Key Institute.
2.1 Personal Information
We collect the following types of personal information:
Identity information: full name, date of birth, gender (where provided), signature
Contact information: email address, mobile and landline telephone numbers, residential and postal address, social media handles
Payment information: payment method details, billing address, transaction history, and information relating to instalment payment plans (note: full credit card numbers are handled by our payment processors and are not stored by Quantum Key Institute)
Enrolment information: program enrolment details, agreement signatures, payment status, attendance records, curriculum progress, and First Client Guarantee compliance records
Marketing and engagement information: form submissions, opt-ins, communication preferences, content downloads, advertising interactions, website analytics, and call booking activity
Community and program participation: posts, comments, messages, and other content you submit within Quantum Key Institute online communities, group chats, forums, and platforms; recordings of live sessions, coaching calls, group calls, immersion events, practice rooms, and activation workshops
Testimonials and case studies: written, audio, video, and image content submitted by you or captured during your participation
2.2 Sensitive Information
Some of our programs and events involve activities (including but not limited to breathwork, hypnotherapy, meditation, energy healing, and somatic practices) that may not be appropriate for all participants. To safely deliver these activities, we collect sensitive information from participants, including information about:
Cardiovascular conditions, including heart disease, high blood pressure, and history of heart attack or stroke
Epilepsy or history of seizures
Pregnancy
Diagnosed anxiety disorders, panic disorder, PTSD, dissociative disorders, psychosis, schizophrenia, or bipolar disorder
Respiratory conditions including severe asthma and chronic obstructive pulmonary disease (COPD)
Current use of psychiatric or other medications relevant to participation
Any other health condition you disclose to us in connection with participation
Sensitive information is treated as a special category of personal information under the Privacy Act 1988 (Cth). We collect this information only with your consent, only where it is reasonably necessary for your safe participation in our programs and events, and we handle it with additional care as set out in this Privacy Policy.
2.3 Information Collected Automatically
When you interact with our websites, funnels, and online platforms, we automatically collect technical and behavioural information, including:
Device information: device type, operating system, browser type, browser language, screen resolution
Network information: IP address, internet service provider, approximate geographic location based on IP
Usage information: pages visited, time spent on pages, links clicked, referrer URLs, traffic source, form interactions, video playback events
Cookies and tracking technologies: data collected via cookies, web beacons, pixels, local storage, and similar technologies
2.4 Information from Third Parties
We may receive personal information about you from third parties, including advertising platforms (such as Meta and Google), referrers, business partners, and publicly available sources. Where we receive personal information about you from third parties, we handle that information in accordance with this Privacy Policy.
We use your personal information for the following purposes:
Delivering our programs, courses, events, and services to you
Administering your enrolment, including processing payments, instalment plans, certifications, and First Client Guarantee compliance
Communicating with you regarding your enrolment, program updates, scheduling, support requests, and operational matters
Safely facilitating your participation in events and activities (including the use of sensitive information for screening and contraindication management)
Providing customer support and responding to inquiries
Marketing, advertising, and promoting our programs and services (including via email, SMS, telephone, and online advertising) — subject to your consent and applicable laws
Using community content, testimonials, recordings, images, and likenesses for marketing and promotional purposes in accordance with the consent granted in your Client Agreement
Conducting analytics, measuring advertising performance, optimising our funnels and content, and improving our programs and services
Enforcing our agreements, recovering debts, and protecting our legal rights
Complying with our legal, regulatory, accreditation, and reporting obligations
Conducting internal training and quality assurance (for example, reviewing call recordings to improve facilitator performance)
3.1 Communications & Opt-Out
By providing your contact details to Quantum Key Institute, you consent to receive communications from us by email, SMS, and telephone in relation to our programs, services, events, and marketing offers. You may opt out of marketing communications at any time by clicking the unsubscribe link in our emails, replying STOP to SMS messages, or contacting us at the details at the end of this Policy. Even after opting out of marketing communications, we may continue to send you transactional and operational messages relating to any current enrolment.
We share personal information with the following categories of recipients, only where reasonably necessary for the purposes set out in this Privacy Policy:
4.1 Service Providers & Platforms
We use third-party service providers to operate our business. These currently include, but are not limited to:
Customer relationship management and funnel-building platforms (for example, GoHighLevel)
Payment processors and merchant facilities (for example, Stripe and similar providers)
Email and SMS delivery providers
Video conferencing and live session platforms (for example, Zoom)
Cloud storage and file management providers (for example, Google Workspace and similar)
Website hosting and domain providers
Advertising platforms (for example, Meta/Facebook, Instagram, Google, YouTube, TikTok) for the purposes of running, optimising, and measuring advertising campaigns, including via tracking pixels
Analytics platforms (for example, Google Analytics and similar)
AI tools and software used in the operation of our business, content production, and customer support
Accreditation bodies and industry associations (for example, the International Practitioners of Holistic Medicine — IPHM — in connection with graduate accreditation submissions, where applicable)
Professional advisors (legal, accounting, financial, and insurance)
Debt collection agencies, where you have an outstanding balance owing to Quantum Key Institute
The list of service providers above is current at the date this Privacy Policy was last updated. We reserve the right to add, change, or remove service providers from time to time, and we will update this Privacy Policy where material changes occur.
4.2 Within the Quantum Key Institute Community
Content you post or share within Quantum Key Institute online communities, group chats, group calls, and live sessions will be visible to other community members and Quantum Key Institute personnel. You should treat any information shared in these forums as semi-public. Do not share information you consider confidential or sensitive in community channels.
4.3 Where Required by Law
We may disclose personal information where required or authorised by law, including in response to subpoenas, court orders, regulatory requests, or other lawful demands.
4.4 Business Transitions
In the event of a sale, merger, restructure, or other transfer of all or part of our business, we may disclose personal information to the relevant counterparty and their professional advisors, subject to appropriate confidentiality obligations.
4.5 No Sale of Personal Information
We do not sell your personal information to third parties for their own marketing or commercial purposes.
Several of the service providers we rely on are located outside Australia, including in the United States and other jurisdictions. By providing your personal information to Quantum Key Institute, you consent to your personal information being disclosed to, stored on, and processed in servers located outside Australia. Countries to which your personal information may be disclosed include, but are not limited to, the United States.
We take reasonable steps to ensure that overseas recipients of your personal information handle that information in accordance with this Privacy Policy and applicable privacy laws, but you acknowledge that overseas recipients may be subject to different privacy laws from those that apply in Australia.
By enrolling in any Quantum Key Institute program and signing your Client Agreement, you grant Quantum Key Institute a perpetual, irrevocable, worldwide, royalty-free, and transferable licence to use, reproduce, edit, adapt, publish, broadcast, and distribute content shared by you or featuring you within the Quantum Key Institute community, including community posts, group call recordings, photographs, video footage, audio recordings, testimonials, transformation stories, results disclosures, and your name, likeness, voice, image, business name, and brand.
This licence is used for marketing, promotional, advertising, and brand purposes across any medium. Further detail on the scope of this licence and your right to opt out of marketing use of identifiable content is set out in your Client Agreement.
Our websites and funnels use cookies, web beacons, tracking pixels, local storage, and similar technologies ("Tracking Technologies") to operate our services, remember your preferences, measure performance, and deliver targeted advertising.
Tracking Technologies on our properties include those operated by Meta (Facebook Pixel), Google (Google Analytics, Google Ads), and other advertising and analytics providers. These technologies collect information including your IP address, device information, browser information, and behaviour on our websites, and may use that information to display advertising to you on third-party platforms ("retargeting").
Most browsers allow you to refuse cookies or alert you when cookies are being sent. Disabling cookies may affect the functionality of our websites. You can also opt out of certain advertising and tracking via the privacy settings of the relevant advertising platform (for example, Meta's ad preferences, Google's ad settings).
We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. These steps include the use of access controls, encryption (in transit and at rest where appropriate), reputable service providers with their own security controls, and internal data-handling procedures.
No method of electronic transmission or storage is one hundred percent secure. While we take reasonable steps to protect your information, we cannot guarantee absolute security.
We retain personal information for as long as is reasonably necessary for the purposes set out in this Privacy Policy, including:
For active clients and graduates: for the duration of your enrolment, your engagement with our community, and for a reasonable period thereafter to support continued access to materials and the operation of any post-program benefits
For financial, tax, and corporate records: for the period required under Australian law (generally not less than seven years)
For marketing content (testimonials, recordings, community content) licensed to Quantum Key Institute: indefinitely, in accordance with the perpetual licence granted in your Client Agreement, subject to your opt-out rights
For prospective clients who do not enrol: for a reasonable period to support ongoing marketing, after which we will deactivate or de-identify your information unless you re-engage
Where required by law or to support legal claims and enforcement: for the period required
Under the Privacy Act 1988 (Cth) and applicable laws, you have the right to:
Request access to the personal information we hold about you
Request correction of personal information that is inaccurate, out-of-date, incomplete, or misleading
Withdraw consent for the use of your personal information, where consent is the basis on which we use it
Opt out of marketing communications at any time
Opt out of marketing use of identifiable content, as set out in your Client Agreement
Lodge a complaint about how we have handled your personal information
To exercise any of these rights, please contact us using the details at the end of this Policy. We will respond to your request within a reasonable period, generally within 30 days. We may need to verify your identity before responding to a request.
If you believe that we have not handled your personal information in accordance with this Privacy Policy or the Australian Privacy Principles, you can lodge a complaint with us in writing at the contact details at the end of this Policy. We will investigate your complaint and respond within a reasonable timeframe, generally within 30 days.

Our programs are intended for individuals aged 18 years and over. We do not knowingly collect personal information from children under 18. If you believe we have collected information from a child under 18, please contact us and we will take appropriate steps to delete that information.
